Purchasing Coordinator (Internal Procurement)
Location: Newark, NJ (Onsite)
Schedule:
• Monday–Thursday: 8:00 AM – 5:00 PM
• Friday: 12:00 - 1:00 PM
Compensation: $80,000–$100,000 (based on experience)
Position Overview
We are seeking a reliable, organized, and proactive Purchasing Coordinator to manage internal, non-product procurement for a growing organization.
This role is not responsible for purchasing core products . Instead, it focuses on sourcing and purchasing all operational and internal needs , including machinery, tools, equipment, shop and office supplies, services, consumables, and special requests that support daily operations.
The ideal candidate is structured, detail-oriented, comfortable dealing with vendors, and able to take ownership of purchasing workflows from request through delivery.
Key Responsibilities
Internal Purchasing & Vendor Coordination
• Manage all internal, non-product purchasing needs across departments
• Research, prepare, and process purchase orders
• Handle recurring, monthly, and one-time purchases
• Communicate with vendors regarding pricing, availability, delivery timelines, and follow-ups
• Compare pricing and identify cost-effective purchasing options
Inventory & Planning Support
• Monitor internal inventory levels for supplies and equipment
• Anticipate upcoming purchasing needs before shortages occur
• Coordinate with departments to understand demand and forecast requirements
Process, Documentation & Compliance
• Maintain accurate purchasing records and documentation
• Track orders, deliveries, and confirmations
• Ensure purchasing follows company policies and approval processes
• Support procurement-related projects as needed
Qualifications & Skills
• Prior experience in purchasing, procurement, operations, or a related role
• Comfortable communicating with vendors via phone and email
• Strong organizational skills and attention to detail
• Ability to manage multiple priorities in a fast-moving environment
• Familiarity with purchasing workflows and inventory processes
• Proficiency in Microsoft Office and ERP or purchasing systems
• Tech-savvy and quick to learn new tools
• Independent worker with a strong sense of ownership
