Tradeshow Coordinator Location Warsaw, IN :

DEPARTMENT: Medical Education & Training

: Tradeshow Coordinator

PURPOSE: The Tradeshow Coordinator is primarily responsible for planning and executing tradeshows, cadaveric labs, training sessions, executive/corporate meetings and other promotional events. This position is critical to the Marketing department with the goal of establishing, maintaining, and promoting a consistent corporate image and aligning with company goals and sales objectives.

GENERAL RESPONSIBILITIES:

  • Identify opportunities for events and tradeshows, aligned with overall marketing strategy, and align event ROI to stated objectives.
  • Plan and execute events with great attention to detail by creating a detailed budget worksheet, dealing with internal and external stakeholders, regular communication of status, logistics (shipping and inventory management), and post-event reports/analysis.
  • Demonstrate knowledge of handling complex tradeshows with knowledge of dealing with shipping, show services, AV, travel arrangements, onsite logistical support, and dealing with vendors and service providers, and reconciling of all invoices.
  • As integral member of the marketing team, plan and oversee execution of promotional activities including print, electronic media, trade show, direct mail, and signage.
  • Manage development, production, and distribution of promotional and collateral materials to support sales and marketing programs.
  • Maintain inventory of all marketing collateral and promotional materials with accurate tracking to reduce costs and waste.
  • Utilize and offer guidance on best practices to create consistency of Medartis brand and products, reduce costs, and improve quality.
  • Manage communication and interaction with key surgeons and customers, including Key Opinion Leaders (KOLs), helping coordinate their travel and arrangements in conjunction with events and meetings.
  • Demonstrate superior organizational and time management skills to generate creative or alternative solutions and resolve problems in a timely manner.
  • Gather and analyze information skillfully to meet expectations or aligns campaigns to stated objectives.
  • Demonstrate excellent communication and negotiation skills to ensure support of marketing initiatives.
  • Understand business implications of decisions and demonstrates knowledge of market and competition.
  • Be adept at budgeting and reporting pre- and post-event/meeting.
  • Be adept at documentation and planning of events, in conjunction with established Marketing & Compliance processes.
  • Develop innovative approaches and ideas and present ideas and information in a manner that gets others' attention.
  • Adapt to changes in the work environment while managing competing demands, frequent changes, delays, or unexpected events.
  • Prioritize and plan work activities by using excellent time management techniques with daily and weekly goals.
  • Be willing to work on multiple projects at one time and react well to pressure while meeting commitments.

SKILL AND EDUCATION REQUIREMENTS:

  • Associate degree in Marketing, Business, or a related field, preferred
  • 3+ years of experience of meeting, event, or convention planning
  • Strong strategic thinking and problem-solving skills
  • Strong organizational and task prioritization skills
  • Exceptional customer service skills
  • Exceptional written and oral communication skills
  • Proficient computer skills
  • Results-oriented mindset with a track record of meeting or exceeding goals.
  • Up to 30% of traveling is required
  • Ability to travel and work on weekends to support corporate events and activities
  • Adheres to all company policies as stated in the Employee Handbook, meeting work responsibilities and meeting internal obligations.
  • Ability to work in a lab and/or operating room environment is required
  • Self-starter personality along with robust market developmental and strong management skills
  • Must have a valid Driver's License
  • Must pass a background check and drug screening
