Job Description

Transform Lives (Both Human and Animal) While Building Something Amazing

Location: Boulder, CO

General Schedule: Monday-Thursday 8am-5pm, Friday 8am-3pm

Who We Are

The Veterinary Behavior Center isn't your typical veterinary practice. We're a privately owned, specialty clinic dedicated to helping pets and their families navigate behavioral challenges with compassion, science, and innovation. Think of us as the psychiatrists and therapists for the furry members of the family – and we're looking for someone to help us run this mission-driven practice like the well-oiled machine it deserves to be.

The Role: Your Opportunity to Shine

We're seeking a Practice Manager who thrives on variety, loves solving puzzles, and wants to be the backbone of a growing specialty practice. This isn't a "just keep the lights on" position – you'll be our strategic partner, system builder, and the person who makes sure everything runs seamlessly while we focus on changing lives.

What You'll Actually Do (The Fun Stuff)

Financial Wizard 📊

  • Become our financial crystal ball – analyzing trends, forecasting, and keeping us profitable

  • Run quarterly business reviews that actually matter (we love data, but we love actionable insights more)

  • Master our tech stack and find efficiencies we didn't know existed

  • Safeguard the practice’s future

People Champion 👥

  • Run hiring processes to attract amazing humans who share our values

  • Manage the onboarding experience that make new team members feel welcomed and prepared

  • Be our HR master, with the assistance of some professionals, to help our employees feel taken care of and valued

  • Be the problem-solver when team dynamics need finessing

Operations Orchestrator 🎯

  • Turn ideas into operational successes from project management to execution

  • Lead our quarterly "OpOps Days" (think: strategic planning meets problem-solving brainstorming and action item check offs)

  • Keep a pulse on daily clinic undergoings and keep this ship moving

  • Be our safety net – catch the little issues before they become big problems

  • Maintain this beautiful building we have for everyone’s comfort

Innovation Catalyst 💡

  • Research new platforms and tools that could make our lives better

  • Identify inefficiencies and create solutions (we love a good process improvement)

  • Advise the practice owner in how to harness the innovation into actionable and business-smart practical goals

Strategic Partner 🚀

  • Participate in quarterly strategic planning and annual goal-setting

  • Present research and recommendations that shape our practice's future

  • Help us think 1-year and 5-years ahead

  • Work hand-in-hand with the practice owner to craft the vision

What We're Looking For

The Must-Haves:

  • Experience managing operations in a professional environment – veterinary, animal shelter, dental, physician office management strongly preferred

  • Financial analysis skills (you don't need to be a CPA, but you should love spreadsheets)

  • Leadership experience with hiring, training, and team development

  • Decent technology proficiency and troubleshooting abilities

  • Regulatory knowledge (OSHA, employment law) or willingness to master it quickly

  • Excellent client communication skills, written and verbal – we uphold a high standard

  • Commitment to DEI and value an environment of psychological safety for employees

The Personality We Want:

  • Proactive, not reactive – you see what's coming and prepare for it

  • Systems thinker – you love creating processes that work without you having to babysit them

  • Detail-oriented – you catch the things others miss

  • Collaborative – you work well with our management team and can give/receive feedback

  • Growth-minded – you're excited about learning new things and expanding your skill set

  • Change-ready – you thrive on new initiatives and are not scared to make moves as long as the safety nets are in place

  • Entrepreneurial mindset –  you want creative programming, believe in minimum viable product testing and love taking ideas and turning them into reality

Why You'll Love Working Here

Life in Boulder: Boulder is an outdoor enthusiast's dream town nestled against the stunning Flatirons, where world-class hiking, biking, and skiing are just minutes away. Our committed clientele reflects the community's deep love for their animals and active lifestyles. With excellent schools, a vibrant arts culture, and a downtown that feels like being on vacation every day, Boulder offers an unmatched quality of life. You'll work in a place where people prioritize both their pets' wellbeing and their own.

Meaningful Mission:

  • Help keep families together when behavioral challenges threaten their bond

  • We recognize and treat suffering that often is unseen or feels hopeless

  • Help pets and their clients get access to cutting-edge care for real impacts on quality of life

Professional Growth:

  • Work directly with Dr. Fagen and our management team on strategic initiatives

  • Develop skills across finance, HR, operations, and technology in a specialty field, let alone learn a ton about veterinary behavior and psychiatry

  • Lead projects that directly impact our practice's success and expansion

Exceptional Culture:

  • Small, devoted team trained to the highest level of expertise

  • Collaborative environment where your contributions are seen and valued

  • We take our work seriously but know how to celebrate the gleeful moments

  • Watch our patients blossom and celebrate their successes alongside families

  • Comprehensive benefits package including health insurance, 401K, and more

The Reality Check: This is a dynamic role with significant responsibility that requires someone who thrives on strategic planning and creative problem-solving. You'll manage multiple projects simultaneously at various stages of development. On occasion you would need to handle after-hours emergencies (facilities issues, not medical) or attend a special event. You'll be expected to master multiple technology platforms and stay current on regulations. But if you're someone who gets energized by building innovative systems, loves the challenge of optimization, and wants to help create the future of veterinary behavioral medicine, this could be the perfect opportunity.

We're an equal opportunity employer committed to building a diverse team. We encourage applications from candidates of all backgrounds who are passionate about our mission.
